These terms govern your use of the Event Experience website and our event management services across the UK, including corporate events, gala dinners, conferences, brand activations, and all other services delivered across England, Scotland, Wales, and Northern Ireland. 1. About These Terms

These Terms of Service govern your use of the Event Experience website (www.eventexperience.co.uk) and any event management services we provide. By accessing our website or engaging our services, you agree to be bound by these terms. Event Experience is a creative event management company operating across the United Kingdom — delivering corporate events, gala dinners, conferences, brand activations, product launches, private celebrations, and venue styling and production across England, Scotland, Wales, and Northern Ireland. These terms apply to all clients, website visitors, and anyone who interacts with our event management services.

2. Our Services

Event Experience provides full-service event management, planning, and production services across England, Scotland, Wales, and Northern Ireland. Our services include corporate event management, gala dinner and awards ceremony production, conference management and organisation, meeting management and venue finding, brand activations and experiential marketing, product launch events, private celebration and party planning, and venue styling and event production. The specific scope of services for each client engagement will be agreed in writing prior to commencement of work. We tailor every event to your objectives, audience, and budget — whether you are hiring an event planner in London, a conference organiser in Edinburgh, or a corporate event company in Cardiff.

3. Enquiries & Quotes

Submitting an enquiry through our website contact form or by email does not constitute a contract or commitment by either party. All event management consultations and initial quotes are provided free of charge with no obligation. A binding agreement is only formed when both parties have signed a formal event management contract or confirmed the engagement in writing. All quotes and proposals are valid for 30 days from the date of issue unless otherwise stated. Prices are subject to change after this period or if your event requirements change materially.

4. Payment Terms

Payment terms are set out in your individual event management contract and may vary depending on the type and scale of your event. Typically, a non-refundable deposit is required to secure your event date and begin planning, with staged payments or the balance due prior to the event date. All prices are quoted exclusive of VAT unless otherwise stated. Late payments may incur interest at the statutory rate. Event Experience reserves the right to suspend or terminate services if payments are not received in accordance with the agreed payment schedule.

5. Cancellations & Changes

Cancellation terms are detailed in your individual event management contract and vary depending on the event type, scale, and lead time. Deposits are generally non-refundable as they cover planning, supplier reservations, and venue booking costs incurred on your behalf. Cancellations made within 60 days of the event date may be subject to a significant proportion of the contracted fee. Cancellations within 30 days of the event may be subject to the full contracted fee. Changes to event scope, guest numbers, venue, or requirements may affect pricing and will be agreed in writing before any additional costs are incurred. We always aim to be fair and transparent about cancellation charges — this applies to all event types including corporate events, gala dinners, conferences, and private celebrations.

6. Client Responsibilities

As a client engaging our event management services, you are responsible for providing accurate and complete event information in a timely manner, including guest numbers, dietary requirements, and accessibility needs. You are also responsible for obtaining any necessary permits, licences, or permissions for your event, ensuring your guests comply with venue rules and regulations, and providing prompt approval of proposals, designs, menus, and supplier bookings where required. Delays caused by late approvals or incomplete information may affect event delivery timelines and could incur additional costs.

7. Intellectual Property

All content on this website — including text, images, logos, event concepts, creative designs, and all other materials — is owned by or licensed to Event Experience and is protected by UK copyright law. You may not reproduce, distribute, adapt, or use any content from our website without our prior written consent. Event concepts, creative proposals, mood boards, and production designs developed by Event Experience remain our intellectual property unless expressly transferred in writing as part of a signed agreement.

8. Limitation of Liability

Event Experience shall not be liable for any indirect, incidental, special, or consequential loss arising from the use of our website or event management services, including loss of profit, loss of business, or loss of reputation. Our total liability in connection with any event shall not exceed the total fees paid by you for that specific event. Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.

9. Force Majeure

Event Experience shall not be liable for failure to perform or delay in performing event management obligations due to circumstances beyond our reasonable control. This includes but is not limited to natural disasters, extreme weather conditions, pandemics or public health emergencies, government restrictions or regulations, venue closures or unavailability, critical supplier failures, civil unrest, or acts of terrorism. In such circumstances, we will notify you as soon as reasonably practicable and work with you to reschedule, find an alternative solution, or agree an appropriate remedy.

10. Third-Party Suppliers

Event Experience works with a trusted network of third-party venues, caterers, entertainers, AV companies, florists, photographers, and other event suppliers to deliver your event across the UK. While we carefully select and manage all suppliers and maintain rigorous quality standards across our partner network, we are not liable for the acts, omissions, or failures of third-party suppliers beyond our reasonable control. Where a supplier fails to deliver as agreed, we will use reasonable endeavours to find an appropriate alternative. Separate terms and conditions may apply to third-party services.

11. Website Use

You agree to use our website only for lawful purposes and in a manner that does not infringe the rights of others or restrict their use of the website. You must not attempt to gain unauthorised access to any part of our website, systems, or servers. You must not use our website to transmit any unsolicited commercial communications, malicious code, or harmful content. We reserve the right to suspend or terminate access to our website at any time without notice if we believe these terms have been breached.
